Website maintenance and growth: what should you review each month?

Each month, check that your website works, relevant people can find it and interested visitors can contact you. Then choose an improvement supported by a specific problem. Maintenance protects operation; a business review helps you decide what to change, even with little data.

  • Separate visibility, website actions and received enquiries: a phone-link click is not a completed call.
  • With little traffic, test the journey and examine prospect questions before interpreting percentages.
  • Every improvement needs a reason, an owner, a delivery check and a review date.

This guide is for businesses whose websites present services and receive enquiries, quotes, calls or bookings. It applies to a first site or a replacement. An online shop or critical service needs monitoring suited to its risks.

1. Maintenance and growth are different jobs

Hosting, technical maintenance and commercial support can cover different work. Identify what you need before paying for “keeping the website active”.

A conversion is a defined action, such as a received quote request. Write down the definition: clicking a button and successfully sending a form are different events. Maintenance does not answer a sales objection; publishing an article does not repair a broken form.

What should not wait for the monthly meeting?

Act promptly on downtime, security alerts, failed message delivery and incorrect contact information. Arrange safe updates, backups and checks with the technical owner. The UK NCSC’s small-organisations guidance includes software updates and recoverable backups among basic protections.1

Ask what is backed up, how often and how restoration is tested. A copy that cannot be restored is not enough. Name an incident owner and reporting channel at launch. The monthly review selects improvements; it does not replace technical monitoring.

2. What should you check each month?

Start with the business goal: “receive suitable enquiries for this service in this area”. The following is a starting point, not a compulsory traffic threshold.

Search Console impressions and clicks describe search interactions, not enquiries or customers. Recent data can be preliminary.2

Define a qualified enquiry for your business: a need you serve, in your area, with a plausible commercial next step. Count distinct enquiries; three messages about one quote are not three prospects.

Keep the report honest

Compare similar-length periods and record coverage, campaigns, seasonality and measurement changes. After a redesign, inspect important pages individually: a total can hide a lost service page. Google recommends examining pages, queries and context when diagnosing search traffic drops.3

Keep three states distinct:

  • Confirmed zero: the measurement works and no defined event was observed.
  • Unknown: a source is disconnected, days are missing or calls are not counted.
  • Provisional: recent figures may change.

Do not add phone clicks and form submissions and call the result “customers generated”. Conversion rates need compatible numerator and denominator. Otherwise keep separate counts. Check applicable privacy and consent requirements before adding analytics; the ICO’s guidance concerns UK organisations and is not a universal rule for every market.5

3. Which improvement matters with little traffic?

Fix what prevents a useful enquiry, then what prevents a prospect understanding the offer. These are diagnostic prompts, not established causes.

A single person can shift a percentage sharply on a small site. You can improve an ambiguous sentence before a statistical demonstration; you cannot claim increased sales without suitable evidence.

Choose one main priority per review, apart from urgent fixes. If you change the title, offer, form and ads together, you cannot confidently attribute a result to one change.

Do you need a new article every month?

No. If the service page fails to explain the service, start there. A guide is justified when it answers a useful question that existing pages do not cover and you have evidence to support the answer. A longer text, new date or repeated keyword is not an improvement by itself.

How should you monitor AI visibility?

For Google’s AI search features, useful accessible text, internal links and ordinary SEO foundations remain relevant. Google requires no special file or schema and does not guarantee appearance.4

Do not generalise this to every assistant. For an observed answer, keep the question, language, market, tool, model or mode, date and cited URL. A brand mention, page citation and referred visit are separate signals. A small panel is not a global share-of-voice measurement. Keep language and country observations separate; English does not identify a visitor as British or American.

4. A practical first 90 days

Day 0 means launch or the replacement site’s switchover. This is a suggested working plan, not a deadline for SEO results or a reason to delay a fix.

Continue monthly afterwards. Increase checks around campaigns and major changes. Correct false information when discovered. A new provider does not automatically require new pages or new design.

5. Copy your monthly review template

Complete known fields and write “unknown” elsewhere. Copy this into your working document or print the page; no paid tool is required.

An observable result can be “the message reaches the right inbox” or “the service area is clear”. More enquiries remain an outcome to examine, not an automatic consequence.

Fictional example: first site with limited data

Over 30 complete days, an analytics tool counts 63 visits, five phone-link clicks and two distinct form enquiries. The owner considers one enquiry qualified; completed calls are not counted. This is fictional and unrelated to SYBIOSME results.

Keep the counts separate. Do not report seven prospects or a click-based sales conversion rate. The form works, but the service page omits coverage and both enquiries ask about it.

The owner supplies the real service area; the provider adds it and checks it on a phone. At the next review, examine new questions. With few enquiries, the commercial effect remains uncertain. No traffic or sales increase is assumed.

Fictional example: a replacement website

A useful old service URL now returns an error, and analytics has changed tools. Totals are not directly comparable. Verify and repair the old URL’s destination to the equivalent page, where one exists. Keep the check and follow that page in Search Console. A new article would not repair this observed loss, and traffic recovery is not guaranteed.

6. Choose the support you actually need

  • Internal review with separate technical support: useful when the site changes little and an owner can check content, contact and enquiries.
  • Maintenance with occasional interventions: useful for a functioning site needing defined changes or diagnosis.
  • Regular support: useful for recurring visibility, content or conversion work you cannot deliver and evaluate internally.

You do not need a rebuild to begin. Keep a good existing provider when they perform the work and provide useful checks.

Ask whether the budget covers maintenance, diagnosis, implementation, copy, integrations and delivery testing. Clarify limits, response and delivery times, your required input and incident handling. A report may be included without the changes it recommends. Identify relevant extra costs such as photos, translation, ads or larger work; they are not automatically necessary.
